Job Description:
Optima Plus Recruitment is seeking a highly skilled and proactive IT Systems Officer on behalf of our client. This role is crucial for supporting the IT systems infrastructure, including Total Mobile, assisting in performance analytics, and ensuring smooth communication with both internal teams and residents. The successful candidate will play a key role in enhancing operational efficiency, supporting IT system management, and driving improvements in the Property Repairs Service (PRS).
Responsibilities:
IT System Support and Management:
- Provide IT system resilience and support the integration of Total Mobile/Total Connect for scheduling, budgeting, and KPI tracking.
- Extract and analyze data from various IT systems to monitor stock usage, materials, and operatives’ performance.
- Generate reports and analyze performance data using Power BI to improve service delivery and performance.
- Assist with the optimization of IT system processes to reduce workload volume and enhance efficiency.
Communication and Customer Support:
- Handle incoming communications from contractors, suppliers, and the public.
- Ensure all customer queries are responded to within 48 hours, with timely follow-ups after property inspections.
- Support the Property Repairs Team with administrative tasks, including emails and letters to residents.
Collaboration and Reporting:
- Collaborate with internal teams and external partners to improve service delivery and implement changes where necessary.
- Support manual reporting processes and work towards automating reporting systems where feasible.
- Ensure the accurate processing of invoices and tracking of recharges for the Property Repairs Team.
Other Duties:
- Liaise with internal/external organizations regarding training and maintain accurate records of team training requirements.
- Support the development and maintenance of the property repairs systems, including system documentation and continuous improvement.
Required Skills & Experience:
- Power BI proficiency and experience with IT system management.
- Advanced Excel skills with experience in data reporting and analytics.
- Strong analytical and problem-solving abilities.
- Experience in working with IT systems such as Total Mobile, Agresso, SharePoint, Civica, and Technology Forge.
- Ability to work to strict deadlines and handle multiple tasks in a fast-paced environment.
- Strong communication skills for liaising with residents, contractors, and internal teams.

- Strong knowledge of IT systems and business processes.
- Evidence of professional development and relevant IT qualifications.
Experience:
- Proven experience in an IT systems officer or related role.
- Experience with Power BI, SQL, and reporting tools is essential.

- Excellent organizational skills and attention to detail.
- Familiarity with performance data analytics and reporting.
